Introduction
The Administrative Assistant role is an integral part of Chevron Phillips Chemical’s Legal & Public Affairs organization, providing high‑quality administrative and operational support to the Dispute Resolution, Intellectual Property, and Legal Operations teams. This position supports attorneys and legal professionals by managing complex administrative responsibilities that help ensure the Legal function operates efficiently, consistently, and responsively.
This role plays an important part in enabling legal teams to focus on higher value legal work by coordinating workflows, managing documentation, supporting legal processes, and serving as a central point of administrative support across multiple practice areas. The Administrative Assistant works closely with attorneys, paralegals, and legal operations professionals to support litigation, intellectual property activities, legal operations, and departmentwide initiatives, helping connect daily administrative execution with broader Legal and business objectives.
Responsibilities
- Independently handle complex administrative responsibilities, supporting higher-level leaders or multiple teams.
- Coordinate cross-functional team activities, ensuring alignment of schedules, priorities, and communication.
- Coordinate office administration tasks including ordering IT equipment, office supplies, coordination of interviews, and maintaining team files per record retention guidelines.
- Prepares expense reports, reconciles credit card statements, and processes invoices as necessary.
- Generate innovative solutions to improve administrative processes, enhancing team efficiency.
- Prepare detailed reports, presentations, and documents with minimal supervision, anticipating team needs.
- Act as a point of contact for high-level inquiries, managing relationships with internal and external stakeholders.
- Manage department subscriptions for publications, online services and professional memberships.
Required Qualifications
- High School Diploma or GED
- Minimum of 7 years of administrative assistance experience
- Proficient in MS Office programs (Outlook, Teams, Word, Excel, Visio, PowerPoint, SharePoint and OneNote)
Preferred Qualifications
- Associate Degree or higher
- Certified Administrative Assistant (CAA) or Certified Administrative Professional (CAP)
- Experience supporting a legal team, particularly an intellectual property or dispute resolution team
- Experience with CounselLink® matter management software
